At PE Express, they are always looking for ways to improve their services. Due to increasing demand from their customer base, they decided in 2018 to expand their storage capacity with a new facility, thus further professionalizing their operations.
In addition to daily distribution rounds and express deliveries, this expansion allowed them to offer customers the option to store their goods on a short or (medium) long-term basis. In the following years, the company experienced rapid growth, along with an increase in administrative workload.
Customer Portal
It was for this reason that Pieter Engels, the founder of PE Express, decided to invite Qargo. "On many days, the team worked overtime due to a growing number of tasks that had to be manually performed in the TMS," explains Pieter. And they didn't see a good solution in sight. "The challenge was that the former TMS we used was modular in its architecture and costs, so if you wanted something extra or wanted to find a way to make the system relevant to our workflow, it became a difficult story," Pieter continues.
In discussions with PE Express and through an analysis of internal processes, it emerged that, like many carriers, tasks such as order entry were still often done manually, resulting in a lot of work and potential errors. It was therefore no surprise to the Qargo team that they wanted to automate and find more. Dependency
Together with ICT Manager Bart Ooms, who also works as ICT Coordinator at the Sancta Maria Institute in Kasterlee alongside his work at PE Express, they were looking for further efficiency gains. "I often found myself searching in our former TMS to optimize invoicing or to think about how to move the planners away from the Excel files that still existed," says Bart. And that's one of the reasons why owner Pieter Engels and his team made the switch.

One of the areas where an advantage has been gained is route optimization for the distribution runs that PE Express conducts daily in Belgium and surrounding areas. In addition, invoicing was another aspect where the team spent a lot of time. "Consolidating invoices or checking orders took us a lot of time," says Bart. According to the team, it was a relief to start working with invoicing in Qargo.

"The seamless integration of invoicing processes within the TMS has drastically reduced the number of manual errors and ensured a fast and accurate billing cycle," says Bart. On the Road Together
PE Express is excited about what the collaboration will bring but already sees that it strengthens their competitive position. Bij PE Express zijn ze altijd op zoek naar manieren om de dienstverlening te verbeteren. Vanwege een groeiende vraag vanuit hun klantenbestand hebben ze in 2018 dan ook besloten hun opslagcapaciteit uit te breiden met een nieuw pand en daardoor verder te professionaliseren.
Naast de dagelijkse distributie rondes en express-ritten konden ze hierdoor klanten voortaan dus ook de mogelijkheid geven om hun goederen op korte of (middel) lange termijn op te slaan. De jaren daarop groeide het bedrijf hard door en daarbij ook de
administratieve werkdruk.
Klantenportaal
Het was dan ook vanwege deze reden dat Pieter Engels, de oprichter van PE Express, besloot om Qargo uit te nodigen. “Op vele dagen maakte het team overuren vanwege een groeiend aantal taken dat handmatig in het TMS moest worden uitgevoerd”, legt Pieter uit. En uitzicht op een goede oplossing hadden ze niet. “De uitdaging was dat het voormalig TMS dat wij gebruikten modulair was opgebouwd qua architectuur en kosten, dus mocht je iets extra’s willen of een manier willen vinden om het systeem relevant te maken naar onze werkwijze, werd dat een lastig verhaal”, vervolgt Pieter.
In de gesprekken met PE Express en vanuit een analyse van de interne processen, kwam naar voren dat, net als bij veel vervoerders, orders invoeren bijvoorbeeld nog vaak handmatig werd gedaan, wat veel werk en mogelijk fouten opleverde. Het was dan ook geen verrassing voor het Qargo team dat ze daar wilden automatiseren en op zoek waren naar meer. “Een van de belangrijkste voordelen van onze samenwerking met Qargo is de integratie van een gepersonaliseerd klantenportaal binnen het TMS naast de AI orderinvoer functie. Onafhankelijk Transportbeheer
Samen met ICT Manager Bart Ooms, die naast zijn werk bij PE Express ook werkzaam is als ICT Coördinator bij het Sancta Maria Instituut in Kasterlee, waren ze op zoek naar vergaande efficiëntie slag. “Vaak was ik op zoek in ons voormalig TMS om zelf de facturatie te optimaliseren of te bedenken hoe de planners weg konden van de Excel-bestanden die nog bestonden”, vertelt Bart. En dat is dan ook een van de redenen dat eigenaar Pieter Engels en zijn team zijn overgestapt.

Een van de aspecten waar een voordeel is behaald is de routeoptimalisatie voor de distributieritten die PE Express dagelijks doet in België en omstreken. Bliksemsnelle facturatie
Daarnaast was facturatie een ander aspect waar het team veel tijd aan spendeerde. “Het consolideren van facturen of het nakijken van orders kostte ons veel tijd”, vertelt Bart. Het was volgens het team dan ook een verademing om met de facturatie in Qargo aan de slag te gaan.
“Een opvallende functie van het Qargo TMS is het bliksemsnelle en foutloze factureringssysteem”, zegt Bart. Het resultaat? "De naadloze integratie van facturatieprocessen binnen het TMS heeft het aantal handmatige fouten drastisch verminderd en een snelle en nauwkeurige factureringscyclus gegarandeerd” geeft Bart aan. Door dit soort functionaliteiten kan het team binnen de werkuren de werkzaamheden afronden en de cashflow garanderen en optimaliseren. "Met het Qargo TMS is facturatie niet langer een hoofdpijndossier, maar een gestroomlijnd proces dat onze efficiëntie verhoogt.", aldus Bart.
Samen op weg
PE Express is enthousiast over wat de samenwerking gaat brengen, maar ziet al dat het hun concurrentiepositie op dit moment verstevigt. “In het tijdperk van digitalisering heeft het Qargo TMS ons een cruciale voorsprong gegeven. Door onze processen te stroomlijnen en te verbeteren, hebben we niet alleen onze efficiëntie vergroot, maar hebben we ook onze positie als innovatieleider in de logistiek versterkt", geeft Pieter aan. Met Qargo’s groeiende team van software engineers zal het hier ook niet bij blijven. Er wordt stevig geïnvesteerd in nieuwe ontwikkelingen en geluisterd naar input van de klanten. Dit zien ze ook bij PE Express ook. "We zijn enthousiast om onze reis met Qargo voort te zetten en samen nieuwe mogelijkheden te verkennen voor groei, efficiëntie en klanttevredenheid.”
